Based on their practical experiences, Sam Marshall, Isabel De Clercq and Hans Vandenberghe, 3 thought leaders in the field of social collaboration, communication and HR will present and discuss their views on the major challenges and opportunities in the design, implementation, roll-out and adoption of a digital workplace. We will also use digivoting to capture the challenges and problems that you experience in your company, and collectively come up with answers and solutions to these problems.

How Focus on Digital Employee Experience (DEX) Improves Digital Workplace Adoption and Success (Christiaan Lustig, Brayton House)

What is most important when implementing and optimising an intranet or digital workplace? How do you make sure, as a project group, intranet manager or owner, that you’re doing the right things… and doing things right? How do you get all stakeholders in your organisation on the same page? And which practical guidelines are there to improve content, adoption, and business processes?

Christiaan Lustig will talk about how a shared focus on the digital employee experience (DEX) helps Comms, IT, HR, business teams, and potential partners to create a strategy and roadmap for the digital workplace. About how you then shape it in such a way that colleagues can work and collaborate more efficiently and effectively, and spend their time and attention with customers, citizens, tenants, students, guests, and so on. With better service and happier employees as results.

The model that Christiaan uses, combines multiple perspectives on digital employee experience, and encompasses various ‘tracks’ for a DEX approach. These include UX, content, technology, adoption, and governance. For each of these tracks, Christiaan shares practical examples from Dutch and Belgian (international) organisations, and advise that you can get started with right away.

ROOM C: Business Case: Digital Transformation of the FLEMISH GOVERNMENT (Dave Geentjens, Program Manager Digital Workplace, Vlaamse Overheid)

In 2017 the Flemish Government decided to migrate to Office 365, and Dave became responsible for governance and user adoption. In December 2018, the migration of 12000 users to O365, including a new vision for introducing mobile devices, started. It's called Digitally Maximized but that really sounds better in Dutch: Maximaal Digitaal.

Currently, more than 80% of the migration is completed and we learned some valuable lessons out of the user feedback that was structurally integrated into the project:

  1. Efforts on user adoption have no effect if the technique fails
  2. Written information is not read, but should not be missing
  3. Retention on end-user group training is too low to make a difference
  4. Ambassadors are crucial but getting the right people for the job is difficult
  5. Desk to desk support is an important safety net for end users we cannot reach through other means

Today, the Flemish Government starts a new journey to get these 12000 employees ready for Teams.

ROOM D: Business Case: GEMEENTE DUFFEL (MUNICIPALITY): Successful Switch to the Digital Workplace (Anne Faes (Gemeente Duffel) and Evert D'Hont (Synergics))

The digital transformation is an infinite game. But in 6 months time Duffel has come quite close to transform into a forceful, digital local government. This achievement was made thanks to a strong focus on the 4 digital outcomes of the digital revolution:

  4. Transform your Products

In this session, we mainly focus on the role the secure and digital workplace plays as an enabler to achieve a more productive and a more engaged workforce. Together with Duffel we mapped their future-proof ambitions onto a roadmap to successfully change their Digital Workplace, and transform and prepare them for the digital future.

Abstract follows. Their focus is on communicating the changes to make a digital workplace rollout and adoption successful, based on 2 very different case studies. At TVH, this was a international rollout of the TVH digital workplace, while the RIZIV business case involved activity based working, a paperless office and a digital workspace.

Business Case: Recticel: A Managed Microsoft Teams and OneDrive roll-out, the first step in Recticel's digital workplace program (presented by Serge Desaranno (Delaware Consulting) and Kenneth Meuleman (Recticel), followed by a discussion of the lessons learned)

In 2017 Recticel took the decision to migrate from Lotus Notes to Office 365 and started off with the infrastructural migration to Microsoft Outlook and Skype for Business. The transition for its 2.800 employees was completed by mid-2018. Recticel wanted to leverage the Office 365 investment and further invest in its digital transformation. A collaboration study conducted in 2018 resulted in a multi-year digital workplace program. A first phase in that program roadmap was the roll-out of OneDrive and Microsoft Teams as a collaboration platform for projects and permanent teams.

This session will give you insights on how Recticel defined its digital workplace program and how it approach the implementation of the first phase from a communication, change management and governance point of view, to ensure a smooth user adoption.

In this presentation, Roxane Pasina (Ozitem’s Chief Marketing and Communication Officer) will show you how they went in 1 year from an old Intranet to an interactive digital workplace allowing them to overcome their communication challenges. When 80% of the company is working outside of headquarters it’s very challenging to communicate efficiently. Key success factors include interactive and engaging content, easy to access training documents, quick search and a personalized interface. Roxane will share 10 key success factors and her experience with Jamespot.

She is the author of the international bestseller book "Social Technologies in Business" (published in June 2017 by Die Keure, republished in Germany by FAZBUCH).

Hans Vandenberghe has had his boots on the ground in digital internal communications for over 10 years. He has extensive experience in IT change communications, internal digital communication, intranets and enterprise social media. He has supported large enterprises such as Barco, Lineas, SD Worx and Mediahuis with digital workplace programs.

Currently his focus has shifted to digital collaboration tools and implementing these with attention to purpose, governance, user adoption and change. He is a big fan of Microsoft Teams and the Office 365 ecosystem because of the plethora of useful and easy-to-use productivity tools that are in there.

Technology is not the issue, it's applying it in the right way and getting the people to understand and embrace this fast-evolving technology. That is what Hans firmly believes.

Sam Marshall (Clearbox Consulting)
Clearbox Consulting

Sam Marshall is the owner of ClearBox Consulting and has specialised in intranets and the digital workplace for over 19 years, working with companies such as Unilever, Vodafone, TUI Travel, Diageo, Sony and GSK.

His current activities focus on intranet and digital workplace strategy, and the business side of Office 365. He is the lead author of the annual 'SharePoint Intranets in-a-box report', the most comprehensive review of these add-on tools.

Sam is a regular keynote speaker at international conferences and has been named a 'Contributor of the year' for his CMSWire column four years in a row. In 2015 Sam was given the Intranet Now award for 'remarkable contribution to the intranet community'. He has an MSc in Artificial Intelligence, an MA in Psychology and more bicycles than shoes.

Christiaan Lustig is a digital strategist specialising in digital employee experience (#DEX), intranet and digital workplace, helping customers with their DEX strategy, content, platform selection, process optimisation, governance, user adoption, and culture change. He works for (international) organisations in the Netherlands and Belgium.

It is Christiaan's mission to bring your organisation closer to your employees, and bring people closer together. To achieve this, he focuses on thoroughly understanding people and their context (i.e. empathy), as well as observing, testing and analysing their online behaviour (i.e. evidence). In doing so, he ensures that your organisation understands and serves your employees better, through continuously optimised intranets and digital workplaces. The result? Happier employees, who now have more time to serve customers, tenants, patients, students, donors, or guests.

Flemish Government / Vlaamse Overheid

Dave Geentjens has 20 years of experience with change projects in a government context. In 2002, the Flemish government chose to redesign the entire youth assistance. For 10 years, he worked as a change agent to connect the many different ideas into one concept. In 2012, he designed the associated digitisation, ranging from a new interactive classification to a cloud based workflow system that every aid provider in Flanders could access via multifactor authentication, ... For five years, he worked as a project manager to guide this instrument through the many twists and turns of Flemish policy. User adoption was a constant concern.

In 2017, he switched from youth assistance to the department for ICT and Facility in the government and started the roll out of Office365 for all government employees. Armed with both knowledge about very difficult changes with many stakeholders and years of project experience to implement digital systems for an audience with almost no digital natives, he engaged in this challenge.

Jan Vanoudendycke (Engie)
Engie

Jan Vanoudendycke is a highly accomplished senior-level manager with proven success in managing power generating assets to enhance safety, productivity and profitability. He has international expertise in managing new and established coal-fired, gas turbine and renewable plants.

Today he is the Director of Knowledge Management (KM) in ENGIE. He implemented a global collaboration platform that allows all employees to be connected in the digital workplace. He is an expert in KM adoption and change. He is a well appreciated speaker at international conferences dealing with collaboration and communities.

Bruce Fecheyr-Lippens (Solvay)
Solvay

Bruce Fecheyr-Lippens started his career in Consulting before dedicating himself to employee experience. As the leader of European organizational solutions at McKinsey, he founded the People Analytics and became Junior Partner in the Organization Practice.

That's where he discovered talent management. Excited by this topic, he quickly focused on employee experience and future of work, for their immediate and positive impacts on his colleagues.

Joining Solvay appeared as a natural move regarding the proposed challenge: re-imagine HR, find new ways of working, and build a coherent and unique employee experience.

Since 2017, Bruce is the SVP, Global head of Innovating Ways of Working, Digital HR, People Analytics at Solvay. He recently became the HRD of Solvay excellence center.

Serge Desaranno (Delaware BeLux)

Serge Desaranno is Manager at Delaware BeLux, passionate about guiding companies in their digital transformation process. He is active in the domain of information and process management as of 1994. He has proficiency and experience with assisting companies in defining digital workplace implementation roadmaps, backed up by the appropriate technical knowledge, hands-on project experience and +20 years of IT expertise in general.

Kenneth Meuleman (Recticel)
Recticel

Kenneth Meuleman started his career as Lotus Notes Developer and Analyst at Recticel in 2008. During a decade, he gained experience in the implementation of collaboration and workflow applications, from a functional and technical perspective.

After Recticel's decision of migrating to Office 365, he was actively involved in the definition of the Office 365 roadmap and is now guiding Recticel in the roll-out of the Office 365 capabilities, in a first stage OneDrive and Microsoft Teams.
